1. Applicability

1.1. These General Terms and Conditions apply to all agreements between Prohairclinic and the Client, in which the former acts as seller and/or supplier of products and/or services.

These general terms and conditions may only be deviated from in writing and with the express permission of Prohairclinic. The supply of products and/or services includes, among other things, the application of a cosmetic tattoo (hair pigmentation, hair tattoo, tricopigmentation, SMP, MHP).

2. Liability

2.1. All services requested by the Client shall be provided under the Client's own responsibility and entirely at the Client's own risk.

2.2. The client declares that he/she has reached the age of 18.

2.3. The client declares that he/she has made a well-considered decision to have hair pigmentation performed.

2.4. The services provided by Prohairclinic in the context of hair pigmentation always constitute an obligation of best effort. Consequently, the latter can never guarantee that the intended result will actually be achieved. Prohairclinic is therefore not liable for the failure to achieve the intended result, or for the incomplete achievement thereof, nor for any damage that may arise from the treatment, except in cases of gross negligence or intent.

2.5. If Prohairclinic is found liable for any damage suffered by the Client, the compensation shall never exceed the sum charged for the relevant assignment.

3. Hair pigmentation information

3.1. Hair pigmentation is a non-surgical procedure using the most modern and advanced cosmetic tattooing technology to create the illusion of a fuller, 'virtual' head of hair. During the treatment, you may experience mild to moderate pain; discomfort disappears almost immediately after the treatment, or at the latest within a few days. Unlike a 'classic' tattoo, micro hair pigmentation will fade over time. This is due to the use of biological ink, which is hypoallergenic but biodegradable. The needles used are ultra-fine, and the pigments are only injected into the upper layers of the skin (dermis). Slight discoloration due to exposure to natural UV rays is possible, but extremely rare.

4. Future touch-up follow-up treatments

A touch-up or follow-up treatment is not included. The rate for a touch-up treatment is

Please note: a touch-up treatment is 1 session, or 1 single treatment.

5. Applicable law and competent court for visual material

5.1. In the event of a dispute, Belgian law shall apply and only the courts of Mechelen (Belgium) shall have jurisdiction.

5.2. Photos and images may be taken and used for all purposes in an anonymized manner. If this is not desired, the client must inform us in writing or via email no later than 30 days after their last treatment.

6. Included in the initial start-up treatment rate (3 treatments)

  • · 3 full treatments/sessions with a maximum of 14 days between each session.

  • Exceptions are possible but must be discussed in advance.

  • Deviations are only possible with the written agreement of Prohairclinic.


7. Adherence to aftercare

Prohairclinic is not responsible or liable for the result if the aftercare instructions are not followed.

Failure to comply, or partial compliance, may cause the pigments to disappear or discolour.

8a. Agreements - down payment/advance payment

Once the date and time of your treatment have been confirmed, you will receive a written confirmation from us via email. Your appointment is only final upon receipt of the requested deposit, which must be paid within 10 calendar days of the dispatch of the advance invoice. Paid deposits are non-refundable at all times.


If you do not do this, it may lead to the reallocation of the appointment time to another client.


Once a treatment date has been set, it is final. Cancellation or modification by the client is not possible; in such cases, the full deposit remains due. Deposits are strictly personal, non-transferable to third parties, and non-refundable.

If an advance payment was waived or was not paid on time, the conditions in Article 8b apply.


Prohairclinic reserves the right to have the treatment performed by a practitioner of its choice, provided that they are certified according to internal company protocols. The assignment of a specific practitioner for consecutive appointments can therefore not be guaranteed.


Arriving late may result in a shorter treatment time or the loss of the appointment.


The rate always applies from the reserved time slot, regardless of whether the client arrives on time. Prohairclinic will do its best to ensure that your appointment can start on time. However, due to circumstances beyond our control, it may be necessary for us to cancel or postpone your appointment at short notice. In that unlikely event, we will do everything possible to notify you in advance.

We do not offer a compensation scheme if your appointment is cancelled due to circumstances on the part of Prohairclinic.


8b. Cancellation and No-show policy


  1. Cancellation and rescheduling by the client (treatment) If the client wishes to cancel or reschedule a planned treatment, this must be reported to Pro Hair Clinic in writing (by email) no later than 48 hours before the start of the appointment. In the event of cancellation or rescheduling of the appointment, the client owes an administrative fee of € 250.00 . This amount must be paid immediately after invoicing to finalize the cancellation or change.


  2. No-show (Failure to appear for treatment appointment) If the client fails to appear for the appointment without prior notice, or if the appointment is cancelled or changed within 48 hours of the scheduled time, a "no-show" fee of € 250.00 will be charged, without prejudice to Pro Hair Clinic's right to charge the full reserved treatment costs if the reserved time cannot be filled again at short notice.


  3. No-Show for consultations: If you are unable to attend a scheduled consultation (either in-person at the clinic or online), we ask that you notify us at least 48 hours in advance. An administrative fee of €50 will be charged for 'no-shows' (failure to show up without cancellation).


  4. Invoicing : The fees due as described in this article will be sent to the client by invoice. Payment of this invoice must be made within the payment term stated on the invoice. As long as outstanding cancellation or no-show fees have not been paid, Pro Hair Clinic reserves the right not to schedule new appointments.


9. Quotation Validity :

10. Result – guarantee

We apply 3 treatments to achieve the final result. During these treatments, any light spots are corrected and it is checked whether the pigment density is sufficient to achieve the result desired by the client.

Prohairclinic strives to ensure that you complete the treatment feeling satisfied.

Unfortunately, every skin is different, which means that an additional treatment may sometimes be necessary. A touch-up rate applies for these treatments within the already treated area (always within 2 months).

For adjustments outside the treated area, the touch-up hourly rate of ' see website ' per hour will be charged.


If lotions, shampoos, or minoxidil containing alcohol are used, their use must be discontinued two weeks prior to the treatments. The use of alcohol/ethanol-based scalp products must also be stopped after the treatment.


The client confirms that he is aware of the nature of the MHP treatment.


Hair pigmentation is a long-lasting change to appearance, and there is no full guarantee that the markings can be successfully modified or removed at a later time. I understand that the effectiveness of the MHP treatment varies from person to person, and I understand that a very small percentage of clients do not respond well to the treatment, and that this small chance exists in my case as well.
